It helps by combining flows, data, and logic from each of your programs, with zero coding knowledge needed. They have over 25 million Zaps on the platform, so you can easily utilize their pre-made templates and get ideas for automating your workflows.

Why I Use Zapier: Testing π
While it does add complexity to my workflow (especially for the initial setup), it provides a process architecture that helps us save time without having to lock in to a single vendor or SaaS software. As a team of marketers who love testing different tools, this is a huge benefit.
Maybe your needs change. Maybe you love ChatGPT, but work suddenly requires you to use Microsoft Copilot. Zapier makes that transition incredibly easy.
I also use Make.com, which is cheaper and more advanced in some ways. But for folks who can afford the $30/mo price point, I’d recommend Zapier instead. It’s easier and has way more connections to all the tools you’ll need to save the most time.
What Do I Actually use Zapier For? π
- Email – I connect ChatGPT to Gmail to write summaries and extract information from reports, competitor newsletters, and just about any email that I donβt have time for.
- Competitive Intel – I scrape websites using Hexomatic, then use Zapier to put them into a Google sheet, database, or workflow where I can easily analyze competitor activity.
- Data Sync between tools and platforms – Often I have data in a CRM (Hubspot, Salesforce, or Active Campaign) and I need it in Google, Meta, or other platforms for retargeting.
- Content Pipeline – I can have Zapier generate a transcript from a YouTube channel, like Professor G, which I then run through ChatGPT to get a summary of useful content ideas.
- Distribution – I mostly use it to automate messages on Slack and other team tools, but you can post to all the major social platforms, including LinkedIn, Facebook, and Instagram. You can also combine Zapier and ChatGPT to auto-generate video captions or post replies.
- Admin Work – I hate repetitive admin work. It completely drains me, and I’m sure I’m not alone. Here are just a few of the admin tasks I automate: publishing content on WordPress, flagging website issues and alerts, handling Stripe billing payments, and expediting team onboarding.
